Key Responsibilities:
- Visitor Management: Greet and assist visitors warmly, ensuring a positive first impression.
- Phone and Email Handling: Answer incoming calls, direct them to the appropriate staff, and respond to emails in a timely manner.
- Appointment Scheduling: Manage appointment calendars, schedule meetings, and coordinate room bookings.
- Administrative Support: Perform general clerical duties, including filing, data entry, and maintaining office supplies.
- Documentation: Maintain accurate records and databases, ensuring confidentiality and organization.
- Communication: Serve as the main point of contact between clients and staff, conveying messages and information effectively.
Tasks
- Greet people and direct them to contacts or service areas
- Provide basic information to clients and the public
- Obtain and process information required to provide customer service
- Record and relay information
- Schedule and confirm appointments
- Send invoices
- Receive and issue payments
- Answer telephone and relay telephone calls and messages
- Calculate billing charges
- Perform basic bookkeeping tasks
- Manage routine office functions including reception, telephone and booking appointments
- Light cleaning duties
Qualifications:
- High school diploma or equivalent; additional education in office administration is a plus.
- Previous experience in a receptionist or administrative role is preferred.
Skills:
- Strong interpersonal and communication skills.
- Excellent organizational and multitasking abilities.
- Proficiency in office software, including word processing and spreadsheet applications.
- Attention to detail and accuracy in handling tasks.
Working Conditions:
- Typically works in an office environment with regular hours, though some flexibility may be required.
