Key Responsibilities:

  • Front Office Management: Greet visitors, students, and parents, providing assistance and directing them to the appropriate staff.
  • Communication: Answer phone calls and emails, relaying messages and information to teachers and administrators.
  • Record Keeping: Maintain student records, attendance, and health information; ensure confidentiality and compliance with regulations.
  • Scheduling: Assist in scheduling appointments, meetings, and events, coordinating with staff and external parties as needed.
  • Administrative Support: Perform general clerical duties, including filing, data entry, and managing office supplies.
  • Student Assistance: Provide support to students regarding inquiries, schedules, and general school information.
  • Event Coordination: Help organize school events, including assemblies, parent-teacher conferences, and extracurricular activities.

  • Arrange and co-ordinate seminars, conferences, etc.
  • Record and prepare minutes of meetings, seminars and conferences
  • Determine and establish office procedures and routines
  • Schedule and confirm appointments
  • Answer telephone and relay telephone calls and messages
  • Compile data, statistics and other information
  • Order office supplies and maintain inventory
  • Arrange travel, related itineraries and make reservations
  • Set up and maintain manual and computerized information filing systems
  • Type and proofread correspondence, forms and other documents

Qualifications:

  • High school diploma or equivalent; additional education in office administration or related fields is a plus.

  • Proficiency in office software (e.g., Microsoft Office) and basic data management.
